Booking policies, payment terms, and usage rights for The Frame Theory Co.

Booking & Reservations

All photography sessions require a confirmed booking through our online system. Session availability is subject to photographer schedule and real-time availability. Once a session date and time are selected and the deposit is paid, your time slot is reserved.

We require 48 hours notice for any changes or rescheduling requests. Availability for rescheduling depends on current bookings and cannot be guaranteed.

Payment Structure

Security Deposit

A security deposit is required to secure your session date and time. The deposit amount is determined by your selected package and is applied toward your final invoice. Deposits are calculated as a percentage of the total package price and are clearly displayed at booking.

Security deposits are fully non-refundable. Once paid, deposits cannot be refunded under any circumstances, including cancellation or rescheduling requests.

Final Balance

The remaining balance is due immediately after your photography session is complete. Payment must be completed before we begin editing your photos. Once your shoot has been completed, you'll receive an invoice and can settle the balance through our secure payment portal. Final payment is required before photo editing begins.

Payment is not required at the time of the session. The final balance payment is due immediately after your session concludes, before we begin processing and editing your photos.

We accept multiple secure payment methods for your convenience, including:

All transactions are encrypted and processed securely through Stripe. You can select your preferred payment method during checkout for both deposits and final balance payments.

Cancellation Policy

Security deposits are fully non-refundable. Once paid, deposits cannot be refunded under any circumstances, including cancellation or rescheduling requests. However, clients may reschedule their session to a different available date at no additional cost, provided that at least 48 hours notice is given. In the event of unforeseen circumstances, please contact us immediately to discuss options.

In rare circumstances, we may need to reschedule or cancel a session due to unforeseen circumstances. If this occurs, we will offer you an alternative date at the earliest possible time. If no alternative date is acceptable, a full refund of the deposit will be issued.

Session Attendance & Preparation

Please arrive 10 minutes early to your scheduled session. We reserve the right to charge a $50 fee for no-shows or sessions started more than 15 minutes late. If you anticipate running late, please contact us as soon as possible.

For portrait and event sessions, we recommend wearing clothes that reflect your personal style and comfort. We're happy to discuss styling suggestions before your session.

Photo Delivery

All photos are professionally edited and delivered in digital format through a private online gallery. The number of delivered photos is specified in your selected package. Delivery timelines vary by package and are typically 2-4 weeks from session date.

Gallery access links are provided via email upon final payment and remain accessible for 90 days. For extended access or archival needs, please contact us to discuss options.

Usage Rights & Copyright

Client Rights

You receive full personal, non-commercial usage rights to all delivered images. This means you may download, print, share on social media, and use the photos for personal enjoyment and family purposes.

Commercial Use

Any commercial, business, or profit-generating use of the images (such as for a business website, commercial advertisement, or resale) requires a separate commercial license and prior written agreement. Please contact us for commercial usage pricing.

Photographer Rights

The Frame Theory Co. retains full copyright to all images. We retain the right to use delivered photographs for our portfolio, website, social media, and marketing purposes. We may also display your images in exhibitions or publications with appropriate attribution unless you request otherwise in writing.

Client Portal & Privacy

Your client account on our portal is private and secure. You are responsible for maintaining the confidentiality of your login credentials. Do not share your gallery links with third parties for commercial purposes without our consent.

We take your privacy seriously. Personal information collected during the booking process is used solely for scheduling, communication, and service delivery. We do not share or sell your information to third parties. For more details, please review our Privacy Policy.

Reviews & Testimonials

We value feedback from our clients. You may be asked to share a review or rating after your session is complete. Sharing a review is optional and you may opt out at any time. Reviews help us improve our services and build trust with potential clients.

Limitation of Liability

The Frame Theory Co. is not responsible for technical issues, file corruption, or data loss beyond our control. All delivered files are provided as-is. While we take precautions to ensure file quality and security, we recommend maintaining your own backup copies of all digital files.

In the unlikely event of lost or corrupted photos due to equipment or software failure on our end, our liability is limited to a refund of the session fee. We do not provide compensation for lost revenue, emotional distress, or consequential damages.

Session Conduct & Safety

We maintain a professional and respectful environment for all sessions. We reserve the right to decline or terminate any session if conduct becomes disruptive, disrespectful, or unsafe. In such cases, no refund of the deposit will be issued.

By booking with us, you agree to comply with all applicable laws and regulations, and agree not to use our services for any illegal or harmful purposes.

Changes to Terms

The Frame Theory Co. reserves the right to update these terms at any time. Changes will be posted on this page with an updated date. Continued use of our services following any updates constitutes acceptance of the revised terms.
